Setting Up Email Notifications for Expired Social Media Accounts in the Social Planner

Created by Stefan Perchinkov, Modified on Wed, 26 Feb at 10:35 AM by Stefan Perchinkov

The Social Planner is where you can host your social accounts such as GMB, LinkedIn, Facebook, and Instagram. Each social account has a ‘token’ which maintains its integration to Referins. Various platforms have ranging token expiration dates - for example, Facebook has a 90-day limit while LinkedIn has a 60-day limit. A token may also expire if a password is reset for a social media account.

Note: To maintain the tokens, accounts may need to be reconnected from time to time. This can be done based on a notification or by manually visiting the Social Planner settings section.

Email Notifications in Social Planner

Users will receive email notifications for the following events in the Social Planner:

  • Account Expired: Notification for social accounts whose tokens have expired.
  • Account Pre-Expiry: For accounts like Facebook pages with a 60-day expiry, a reminder is sent around the 50th day to refresh the token.
  • Request for Approval: Alerts users when a scheduled social post requires approval.
  • Post Approved - Creator Update: Notifies the post creator when their scheduled post is approved.
  • Post Rejected - Creator Update: Notifies the post creator if their scheduled post is rejected.
  • Post Failed: Alerts selected users when a scheduled post fails to publish.

FAQ

How to change the default email template for notifications?

To change the default email template for notifications, go to Emails > Template, click on New, and select Email Marketing Template. In the template library, find the System Template option on the left, select the desired template, and load it for editing. Navigate to the Social Planner notification section, modify the template as needed, and save the changes.

When does the Pre-Expiry Notification trigger?

If enabled, the pre-expiry email notification is sent when a social account, such as a Facebook page, has a token set to expire in 90 days. The notification will be triggered on the 80th day, reminding the user to refresh the token.

What happens when a social media account token expires?
If a token expires, the account may disconnect from the Social Planner, causing scheduled posts and other activities to stop until the account is reconnected.

How do I know when a token is about to expire?
You can receive notifications via email if you set up notifications for expired accounts, or you might see alerts within the Social Planner settings.

What should I do if a social account disconnects due to an expired token?
You will need to reconnect the account manually by navigating to the Social Planner settings and reauthorizing the account.

Can I change how often I receive email notifications about token expiration?
Yes, when setting up notifications, you can choose the frequency of reminders, as well as customize the email template.

Does changing the number of day reminders affect the current token expiration cycle?
No, the change in reminder settings will only apply for the next expiration cycle after you make the change.
